How to Manage Bulk Corporate Gift Orders Without the Headache

A practical procurement manager's guide to ordering 500+ branded gifts smoothly, on time, and on budget.

3 min read

Ordering twenty gifts is a favour; ordering five hundred is a project. Bulk orders involve several stakeholders, fixed deadlines, brand approvals and often more than one delivery address. Most problems — late deliveries, wrong quantities, a logo in the wrong colour — trace back to an unclear brief or a skipped approval. A simple process prevents them.

1. Write a one-page brief

Before you contact suppliers, put the essentials on a single page:

  • Purpose and audience: onboarding, a conference, rewards or client gifting.
  • Quantities: per product, with a small buffer for replacements and late additions.
  • Budget: per unit or per kit, and whether it includes branding, packaging and GST.
  • Branding: logo files in vector format (AI, EPS, SVG or PDF), brand colours and any placement rules.
  • Delivery: addresses, a receiving contact at each one, and the date the gifts must be in hand.

A clear brief gets you comparable quotes and saves days of back-and-forth.

2. Build one list and ask for one quote

Shortlist products and add them to a quote list with the quantities you need. Sending the whole list at once, rather than item by item, lets your supplier suggest a consistent branding approach and packaging that fits everything. On our website, the quote list sends every product and quantity to us in a single WhatsApp message or email.

If the choice isn't settled yet, ask for two or three options at different price points for the same purpose. Side-by-side options make internal approval much quicker than a single proposal.

3. Compare quotes like for like

A unit price means little on its own. Check that each quote covers the same product specification, branding method, number of branding positions, packaging, delivery and GST. The prices on our website are indicative and exclude branding and GST; the final quote is confirmed in writing before production starts.

4. Approve mockups carefully

The mockup stage is your last inexpensive chance to catch a mistake. Check logo size and position, colours, the spelling of any text, and which products carry which mark. Involve the brand owner now, not after delivery. We send free digital mockups within 24 hours, and nothing goes into production until you approve them.

5. Lock the timeline

Standard delivery takes 7–10 days after mockup approval, with a 5-day express option for urgent requirements. Plan around the approval date rather than the enquiry date, and leave room for internal sign-offs. If gifts are going to several offices, share the split early so packing and dispatch can be planned together.

6. Check the delivery on arrival

When cartons arrive, count them against the delivery note, open a sample from each carton and check the branding before distributing. Raise any issue straight away with photos — it is much easier to resolve while the order is fresh.

Keep one point of contact

Bulk orders run smoothly when one person on each side owns the order. At Jason Gifting a single account manager handles your order from brief to delivery and is reachable on WhatsApp, so questions don't get lost between departments. Orders start at 50 units per product, and bulk pricing scales up to 50,000 units.
